Welcome to Voicion, an AI-powered voice and video note-taking application available for iPhone, iPad, and Mac. This Privacy Policy explains what information we collect from you, how we use and share it, and your rights regarding that information. By using Voicion (the “Service”), you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our practices, please do not use the Service.

We collect several types of information to provide and improve our Service:

• Account Information: When you register for Voicion with an email address or through Sign in with Apple/Google, we collect information such as your email address (including any alias email provided by Apple). This information is used to create and secure your account and to authenticate you across devices.
• Notes and Recordings: We do not collect and store content you create or import into Voicion, including audio recordings, videos, transcriptions, and any notes, summaries, translations, quizzes, or flashcards generated from your content.
• Usage Data and Device Information: We automatically collect certain data about your device and how you use the app. This includes a unique device identifier, device type, operating system version, and analytics data such as screens viewed, features used, and buttons tapped. We also collect diagnostic data like crash logs. This information helps us understand app performance, troubleshoot issues, and improve features.
• Transactional Data: If you subscribe to premium features or make purchases, we may collect information about the purchase. However, we do not collect or store your payment card details. Purchases on iOS/macOS are handled by Apple’s App Store (and by Google Play on any future Android version), and any payment information is processed by those platforms or our payment processor (e.g. Stripe) and not accessible to us. We may receive confirmation of your subscription status or transaction (e.g. that you’ve paid and what tier of service you have) to enable premium features on your account.
• Communications: If you contact us for support or feedback, we collect your name, email address, and the content of your correspondence. This information will only be used to assist you and improve our Service.

We do not knowingly collect any sensitive personal information such as race, religion, or health data, unless you voluntarily include it in your notes. Voicion is not intended to process any sensitive personal data and we advise you not to store such information in the app.

We use the collected information for the following purposes:

• Providing and Improving the Service: Your data (notes, recordings, transcripts) is used to deliver core features of Voicion, such as transcribing audio, generating summaries, translations, quizzes, and flashcards from your notes. We also use your information to maintain and enhance app functionality, personalize your experience (for example, remembering your last note or language preferences), and develop new features.
• AI-Powered Features: Voicion uses artificial intelligence services to transcribe audio/video and to generate summaries, rewrites, translations, quizzes, and flashcards. This means that when you use these features, the relevant audio or text content of your notes is sent to our AI processing system, which may include third-party AI providers (for example, OpenAI’s API for transcription or language processing). We use your data in this context only to return results (transcripts or generated content) back to you.

By using these AI features, you consent to your content being transmitted to and processed by these AI services. (See more under Third-Party Services below.)

If we start doing so in the future, we will provide a way for you to opt-out or unsubscribe. We may still send you non-promotional communications, such as those about your account or transactions, or important updates about the Service.

• California Privacy Rights: If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, for what purposes, and the categories of third parties with whom it is shared. You also have the right to request that we delete your personal information and the right to opt-out of any “sale” of your personal information (note: Voicion does not sell personal data). You or your authorized agent can exercise your California rights by contacting us with your request. We will ask you to verify your identity and will respond within the timeframe required by law.
• GDPR (EEA/UK) Rights: If you are in the European Economic Area, United Kingdom, or another region with similar data protection laws, you have the right to access the information we have about you, to have your information corrected or deleted, and to object to or restrict our processing of your information in certain circumstances. You also have the right to data portability. To exercise these rights, please contact us. You also have the right to lodge a complaint with your local data protection authority if you believe we have violated your privacy rights.

We will not discriminate against you for exercising any of these rights. For any requests related to your personal data, please contact us at our support email. We may need to verify your identity (for example, by confirming control of your account email) before fulfilling certain requests.

Voicion is not intended for children under 13 years of age. We do not knowingly collect personal information from anyone under 13. If you are under 13, please do not use the app or provide any information to us. If we learn that we have inadvertently collected personal data from a child under 13, we will take steps to delete that information promptly.

For users between 13 and 18 (or the age of majority in your jurisdiction), Voicion should be used under the supervision and with the consent of a parent or legal guardian. We recommend parents/guardians review this Privacy Policy and discuss it with their teenagers to make sure it is understood.

If you are a parent or guardian and you believe your child under 13 has provided personal information to us, please contact us immediately so that we can locate and delete the data.

Voicion is a global service. By using the app, you acknowledge that your information may be transferred to and processed on servers located outside of your country of residence, including in the United States and other jurisdictions where our infrastructure or third-party providers are situated. These countries may have data protection laws that are different from those in your country (and in some cases, not as protective).

Whenever we transfer personal data out of regions like the European Union or United Kingdom, we take steps to ensure appropriate safeguards are in place to protect it. This may include using Standard Contractual Clauses approved by the EU, or ensuring the recipient is certified under frameworks like the EU-U.S. Data Privacy Framework (if applicable), or other legal transfer mechanisms. Our third-party service providers are also required to handle your data securely and in accordance with applicable data protection laws.

By using Voicion, or by providing us with your information, you consent to the transfer of your data to other countries as described in this policy. We will always treat your information in accordance with this Privacy Policy, no matter where it is processed.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we update the policy, we will change the “Last Updated” date at the top of this page. If the changes are material, we will provide a more prominent notice (such as by sending a notification in the app or via email if we have your contact information).

We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. Your continued use of Voicion after any changes to this Privacy Policy signifies your acceptance of the updated terms.
